Why Share Shipments
Sharing shipments allows third parties, such as clients and logistics, retailers, and other partners, access to real-time data. This improves visibility and coordination across the supply chain, keeping all stakeholders informed and aligned. The Platform provides flexible, secure options to share data based on your business needs and level of sensitivity.
Different Methods to Share Shipments
There are three ways to share shipments:
Each method offers different levels of shipment data and platform feature access, depending on your goals.
Collaborators
Collaborators are the most secure and recommended method to share shipments. They are especially useful when working with long-term partners, in sensitive industries, or with specific cold chain programs.
What Collaborators Can Do
Collaborators gain access to current, future, and historical shipments shared with them through a password-protected login to the Tive platform. Collaborators can be given access to a variety of features and functionality within the Tive platform through collaborator roles (read more about configuring collaborator roles below). Some examples of what collaborators can be given permission to do include:
- Access to alert notifications and real-time monitoring
- Ability to start and edit shipments shared with them
- Ability to create shipment reports
- Ability to add shipment and alert comments to collaborate on shipment success
Why Use Collaborators
- Secure access with password protection
- A central account where they can view all shared shipments, rather than disjointed tracking emails
- Save time by automatically adding collaborators to relevant shipments through shipment templates, carriers, or locations
Note: If the collaborator is assigned to a location or carrier used by the template it can't be removed directly from the template.
How to Add Collaborators to a Shipment
Collaborators can be added through:
Locations
- Adding collaborators to locations will ensure that they are automatically added as collaborators to any shipment that uses this location.
Note: If this location is added on a specific shipment leg, the collaborator will still have visibility of the whole shipment duration.
Shipments
- Adding collaborators while creating shipments will give them all of the privileges included in their collaborator role for the shipment directly
Shipment templates
- Enables you to use collaborators at scale by automatically adding them to shipments using templates
Carriers
- Can be used to make sure key carrier contacts are always given access to shipments where they are added as the carrier
How Collaborators Receive Shipment Invites
- They receive an email from Tive Notifications no-reply@tive.io with the subject line “Tive: Shipment Shared With You”
- They click the View Shipment button in the email
- They complete the account setup by creating a password. This is a one-time step.
- Upon first login, they set up their profile preferences, including:
- Time zone
- Temperature and distance units
- Language
- Alert preferences (email and/or text)
- Once saved, collaborators can view all shipments shared with them by selecting All Shipments from the dashboard
How To Configure Collaborator Role Permissions
- Go to ‘Shipment Access’, found under your initials on the top right corner
- Click on the edit button
- Use the toggle to enable/disable permissions for each role
Note: Any changes to the role permissions will automatically affect all existing collaborators.
Shared Shipment Links
Shared shipment links allow you to provide access to a single shipment by generating a public link. Unlike collaborators, this link does not require the recipient to log in or set up an account. It's useful for sharing access quickly, for example, when needing to share with receivers who aren't frequent users or who don't want to set up an account. However, it is worth noting that this method of sharing shipment information is less secure than collaborators - anyone with the link can see the data.
To share a shipment link:
- Select a specific shipment from the shipment list
- Click the Share Shipment button found in the upper right-hand corner of the shipment details panel
- Select data visibility:
- Location and condition data
- Location data only
- Condition data only
This link allows viewing of the specific shipment only and can be customized to show:
- Location and condition data
- Location data only
- Condition data only
Shipment and Tracker Portals
The Shipment and Tracker Portals are an open-access web page that allows your partners to search and view shipments or trackers by ID without being individually invited. It is enabled from your Organization Settings > General.
How It Works
Once enabled, you can share a single link that allows external parties to:
- Search for their shipment using the Shipment ID or the Tracker ID
- View real-time information and updates
- Access only the data you choose to make visible
Portal Configuration Options
You can control:
- Whether the portal is active at all. If “anyone with the link can access” is not checked, the link will redirect to the platform login page.
- If report generation is allowed
- Whether to show Leg and ETA information (shipment portal only, Plus tier required)
- Data visibility:
- Location and condition data
- Location data only
- Condition data only
- Display settings
- Units in kilometers or miles, Celsius or Fahrenheit
- Language options in English or Spanish
Accessing The Portal
Copy/Paste the ‘Shared Shipment Portal’ link into your web browser. You’ll be asked to enter the shipment ID to access the shipment information and generate reports.
After entering your shipment ID, you will be taken to the shipment's data and details page.
Key Points to Know
- Collaborators provide secure login access and are ideal for long-term, repeated use across multiple shipments, partners, and/or customers. Collaborators can be given different levels of shipment access using Roles
- Shared links and portals are open to anyone with the link and are a good alternative to collaborators when sharing one-off shipments. They are not recommended for high-value loads or customers concerned about security.
Best Practices
- Assign the appropriate role to each collaborator to ensure they are only getting access to the features and data they actually need
- Automate collaborator assignment using locations, carriers, or shipment templates
- Use portals when your customers need to search and access shipments independently
- Sending setup instructions when adding a collaborator helps reduce confusion and prepares users for first-time access
