Shipment Templates

If you regularly ship between the same origin and destination, you can use shipment templates to save time and ensure consistency when creating new shipments in the Tive platform. Shipment templates allow you to set key shipment information (i.e., origin, destination, alert presets, collaborators) once and reuse this information without having to re-enter it, enabling shipment creation in less than a minute. Main benefits include:

  • Efficiency: Quickly create shipments with pre-configured details, reducing setup time.
  • Consistency: Standardize shipment information, ensuring all shipments follow the same parameters.
  • Error Reduction: Minimize mistakes by avoiding manual entry for frequently used shipment details.

How It Works

Accessing Shipment Templates

  1. Navigate to the Configure tab in the Tive platform.
  2. Select Shipment Templates to access existing templates or create a new one.
  3. A default template titled "My First Template" is available as a quick-start option.

Creating a New Shipment Template

  1. Click Create New Shipment Template in the top-right corner.
  2. Complete the following fields:
    1. Template Name: Choose a unique and clear name.
    2. Adding a Shipping Leg: Fill in the relevant fields
      1. Ship From Address: Add or select from pre-configured locations
      2. Alert Presets: Add pre-configured presets
      3. Mode: Choose Road, Air, Ocean, or Rail:
        1. Air Mode requires an AWB number for tracking real-time location during an air leg. This feature is available on the Premium Tier only. The rest of the condition data is recorded even without having the number and on all platform tiers.
        2. Ocean Mode requires a Container ID for tracking real-time location during an ocean leg. This feature is available on the Premium Tier only. The rest of the condition data is recorded even without having the number and on all platform tiers.
      4. Assign Solo or Team Driver: A solo driver operates alone with required rest breaks, while a team driver alternates driving with a partner for continuous operation and faster transit times. Filling out this field properly will improve the accuracy of shipment ETAs (available on the Plus Tier).
      5. Carrier: Select a carrier that has already been configured from the dropdown or add a new carrier directly from the dropdown.
        1. Note: It is recommended to create and save carriers for your entire team to use, rather than having shipment creators add new carriers every shipment. This will unlock more consistent analytics and insights downstream. The other benefit of creating carriers for your organization to reuse is that you can also save collaborators and contacts to support shipment monitoring workflows. You can do this from the Configure tab, found in the navigation bar.
      6. Ship To Address: Specify the delivery location.
      7. Additional Stops: For shipments requiring multiple stops, add additional legs by clicking Add Stop
  3. Collaborators: Add external team members as shipment collaborators. The collaborator roles and permissions below are configured by default. However, you can customize the permissions associated with each role for your use case:
    1. Editor: Can edit shipment details, generate reports, and add alert presets.
    2. Contributor: Can view shipments and generate reports, but cannot edit their details.
    3. Viewer: Can only view shipment information.
      1. Collaborators can be added from locations, carriers, and shipment templates. When set, any shipment using these presets will notify all inherited collaborators.
  4. Custom Field: Use a free-text section to add other relevant fields.

Key Points to Know

  • Shipment templates make creating shipments faster: Instead of re-entering information manually, create your shipments in less than a minute using templates.
  • Shipment templates can be edited anytime: Simply update details in the template and click save. This won’t impact in-transit shipments.
  • Templates integrate with alert presets: Ensure alerts are pre-configured properly and added to the template for accurate shipment tracking.

Best Practices

  • Use Clear Naming Conventions – Make it easy to identify templates by using structured names (e.g., Warehouse A to Distribution Center B).
  • Leverage Alert Presets – Attach alert presets to templates to detect shipment issues in real-time, enabling you to resolve them before they cause load losses.
  • Assign Appropriate Roles – Ensure team members have the right permissions to avoid unwanted edits or restrictions to access templates. Read more about roles here.
  • Regularly Review and Update Templates – Keep templates relevant by revisiting them periodically to reflect operational changes.
